TrackReward - Email Management Documentation

1. Overview

The Email Management section in the TrackReward dashboard allows administrators to configure and manage automated emails. These emails are triggered by specific affiliate-related events, such as approvals, signups, and rejections.

2. Emails Overview Page

Features and Components

The Emails page displays:

  • Email Name: The purpose of the email (e.g., Affiliate Approved, Affiliate Signup).
  • Subject: The email subject line.
  • Trigger Event: The action that triggers the email (e.g., Affiliate Signup, Affiliate Rejected).
  • Campaign Name: The campaigns associated with the email.
  • Is Active: Status of the email (Active/Inactive).
  • New Email Button: Allows the creation of a new email.

3. Where Are These Emails Used?

Affiliate Account Management

  • Affiliate Signup: Sent when an affiliate registers.
  • Affiliate Approved: Sent when an affiliate is approved.
  • Affiliate Rejected: Sent when an affiliate is denied access.

Commission and Payment Updates

  • Commission Earned: Sent when an affiliate earns a commission.
  • Commission Approved: Notifies affiliates of commission approval.
  • Payout Processed: Sent when an affiliate's payout is completed.

Promotional Offers and Updates

  • New Campaign Announcement: Notifies affiliates of a new campaign.
  • Promotional Offers: Sent to affiliates when new promotional offers are available.

Performance and Engagement Notifications

  • Performance Summary: Provides affiliates with performance insights (weekly/monthly).
  • Lead Conversion Updates: Notifies affiliates about the status of their referred leads.

4. Adding and Editing Emails

Creating a New Email

  1. Click the New Email button.
  2. Enter the Email Name.
  3. Define the Subject Line.
  4. Select the Campaign (or apply to all campaigns).
  5. Set a Delay in days/seconds (optional).
  6. Choose an Email Event (e.g., Affiliate Approved, Signup).
  7. Write the Email Body using the text editor.
  8. Use available shortcodes for dynamic content (e.g., `[affiliate_name]`, `[campaign_name]`).
  9. Click Save or Save with test email to finalize.

Editing an Existing Email

  1. Click the three-dot menu beside the email you want to edit.
  2. Modify details such as subject, campaign, email body, or trigger event.
  3. Click Save to apply the changes.

5. Usage Guide

  • Managing Emails:
    1. Navigate to the Emails page.
    2. Review email statuses and configurations.
    3. Create or modify emails as needed.
  • Testing Emails:
    1. Use the Save with test email button to send a test email before enabling it.
    2. Verify dynamic content rendering using shortcodes.

6. Best Practices

  • Use clear subject lines to enhance email open rates.
  • Ensure all automated emails are active and aligned with marketing objectives.
  • Personalize emails using shortcodes for better engagement.
  • Test emails regularly to ensure proper formatting and content accuracy.
  • Avoid long delays to keep communication timely.
